General Data Protection Regulation

The General Data Protection Regulation requires that members must agree to be contacted by the Club in conection with Club activities. It is therefore vital that members tick the box on the membership renewal or application form agreeing that the Club can contact them if possible by e mail.

The Club fully endorses and adheres to the principles of Data Protection legislation and will:

  • Only collect information needed for the administration of the Club
  • Keep the information secure.
  • Ensure the information is relevant and up to date.
  • Only hold as much information as we need and for as long as we need.
  • Only use the information to contact Members if we have the specific approval of members.
  • Allow Members to see the information held on request.

Information Held:

Information provided by members on renewal or on their application forms is held by the Membership Secretary and distributed to the Management Committee. The information held comprises name, address, telephone numbers, partner name, e-mail and where necessary details of financial receipts. The Management Committee uses information provided by Members for the administration of the Club, for example distributing agendas and minutes, arranging lunches and arranging trips.

The Club publishes a membership handbook and the password protected part of a website containing Member’s information. That information will be available to all members, in either electronic or paper versions. If you consent to your data being shared in this way, please tick here.

Photographs or videos may be taken of Club activities and published on our website to promote the Club and for the benefit of Members. If you consent to your image being used by the Club in this way, please tick here.

Data will NEVER be passed to other third parties or used in any way not directly related to Club activities.

Withdrawing Consent

If you wish to withdraw consent, please contact the Club Secretary. Please be aware that if you later decide to withdraw consent to your contact details being published it will not be possible to remove your contact details from printed material until such time as the next edition of the handbook is printed, which will be on a yearly basis.
